OnStage offers two possible solutions for the handing in and assessment of submitted work: the "Submit a file" activity and the "Handin and Assess" activity. This article focuses primarily on using the "Hanbdin and Assess" activity.
The Submit a file activity
The first solution is the simple "Submit a file" activity. This allows the student to submit and the assessor to download the files and provide feedback in a basic feedback field. This activity has no further options. This article will not discuss this solution further.

The Handin and Assess activity
OnStage also offers a more comprehensive feature and activity type that, in addition to these actions, also enables the following functions:
- Defining what needs to be submitted.
- Deep integration with plagiarism scanners during submission and assessment.
- Evaluating the document, including providing comments within the document, without having to download it.
- Using a digital form.
- Offering grades and assessments according to the grading scales defined by the educational institution.
This is the complete solution we call "Handin and Assess." This article discusses how this solution can be used. What options are available in this activity depends on the user's stage of the process and which steps have been made available for the process that has been prepared for you.
The Handin and Assess process
The standard Handin and Assessment process, involving a student and assessors, generally looks like the following:
- The student, or a group of students, submits work via a predefined set of possible submissions.
- The assessor, or multiple assessors, can provide feedback on the submitted work in various ways.
- The assessor, or multiple assessors, can complete an assessment including supporting documentation.
- The feedback and assessment can be confirmed, and the relevant documents and forms can be shared with the student. In the case of multiple assessors, assessments can also be consolidated here.
Below, we will provide a brief explanation of each phase and, where necessary, link to an article with more information about a specific part of the process.

Handing in work for feedback and assessment
The documents a student submits depend on the configuration settings for the specific activity. You can define various files or supporting documents that can be uploaded. For each file, one or more document types can be selected. The following extensions are allowed for each type of document:
- Text: .doc/.docx/.pdf
- Video: .mp4/.avi/.wmv/.mov/.mpg/.mpeg/.m4v
- Audio: .mp3
- Presentations: .ppt/.pptx
- Spreadsheets:.xls/.xls/.xlsb
- Images: .gif/.jpg/.jpeg/.png/.jfif
- Archives: .zip/.7z/.zip (x-zip variant)/.rar
- Projects: .mpp
- Tech: no restrictions on file types; this is generally used for file types needed for the software for specific study programmes such as CAD etc.
The activity also supports submission deadlines. These are visible at the top of the activity and in overviews once a deadline has been set. After the deadline has passed, submissions are no longer possible.
Some documents can be submitted under "embargo", in that case, a reason and end date for the embargo can be provided. Document under embargo are only available to the student and assessor until the end date of the embargo has passed.
During grading, the assessor can also decide that certain documents were submitted incorrectly and give the student the opportunity to resubmit.The student will receive a notification of this decision.
Providing feedback on submitted work
Providing feedback during grading depends on the file type submitted. There are three possible outcomes:
- The file type is available for viewing in the browser and notes can be added to the file.
- The file type is available for viewing in the browser, but notes cannot be added to the file.
- The file type is not available for viewing in the browser.

How can I give feedback during assessment?
Assessing and grading submitted work
At the top right of the assessment screen, you'll see the option to select the grading method and a save button below that. The options in this list are based on the grading method that has been chosen.
Below, you'll see one of two options:
- Assess using general feedback
- Assess using a digital grading form
In both situations, you can optionally allow the grader to upload their own grading form. This will overwrite the information entered here.
The grading and general feedback entered here will be visible in the activity after returning to the file screen.

How can I grade and assess the student?
Confirming and publishing the grade
After the feedback has been provided and the assessor has completed the assessment, it can be confirmed. This is indicated by the "Confirm assessment" button becoming available.
After this action, all final documents will be prepared for the student in the background. This includes the assessment form, the files containing all feedback notes, etc. You will then see the following message:
In this status, the documents are not yet available to the student. To finalise the work and allow the students to get access to the documents, use the following two buttons at the bottom of the screen:
Depending on the result, you can choose whether the student needs a new attempt, or whether the activity is fully completed and can be finished. After assigning a new attempt, this new attempt can be started by you or the student.
Options are available for a maximum number of attempts, or for a student to automatically receive a new attempt or complete the activity based on the result.
Consolidating

How do I consolidate assessments?
Results integration
Some schools have the option to send the grades from this activity directly to the student information system via our results integration. This action occurs immediately after recording and releasing the result in the attempt.
If this will be done when publishing, you will see a notification below the result that this is about to happen.
